A well-structured timeline is the foundation of a smooth and stress-free wedding day. Yet, even the best-laid plans can face unexpected hiccups. Over the years, I’ve seen it all as a wedding photographer—from missing groomsmen to elaborate family photo requests—but I’ve also learned exactly how to navigate these challenges with ease.
What Are Wedding Day Timeline Killers?
Too Many Family Combinations: The Silent Timeline Killer
Family formals are a cherished part of the wedding day, providing couples with beautiful portraits of their loved ones. However, trying to photograph every possible combination of family members can quickly eat up precious time, leading to frustration and delays.
Why is this a problem? Long, disorganized lists of family groupings can lead to confusion, wandering family members, and extended photo sessions that eat into time meant for other moments, like cocktail hour or creative couple portraits.
How to Avoid Wedding Day Timeline Killers
The Solution: Thoughtful Planning + Organization
To ensure family formals run smoothly, I work closely with my couples during the wedding planning process to create a concise and prioritized list of family combinations. Here’s how I make this process seamless:
Step 1: Create a Finalized Family Formals List:
I collaborate with couples to finalize the family photo list before the wedding day. We review and finalize this list in advance to ensure no group is missed and this portion of the day runs smoothly.
- Limit Family Groupings: I recommend limiting the number of combinations to 10 groupings, typically focusing on immediate family. This helps me keep family formals to 20-25 minutes, allowing couples to quickly return to enjoying their day. This approach helps us capture meaningful moments efficiently while leaving plenty of time for other parts of the celebration.
- Leaving Room for Spontaneity: The finalized family photo list is seen as our after ceremony “must-haves” to be captured right after the ceremony. Once this list is completed, and if time allows, we can always add more and improvise additional groupings day of.
- Second Tier: I also work with my couples to create a secondary list of extra groupings, such as friends and extended family. These additional shots are typically captured during the reception when the timeline is more flexible and not as tight.
- Name Calling: Another helpful tip, use each person’s first and last name along with their relation to the couple. This ensures clarity for the photography team and helps the process run smoothly.
Step 2: Having a Successful Team:
One of the key factors to ensuring success during family formals is having a strong three-person team. This team includes:
- The Photographer (me!) who finalizes group placement and takes the photos.
- My amazing second photographer, calls out the names of the next family grouping. This ensures they are all present and ready for their turn.
- The assigned family wrangler (check out the previous step for details), who helps gather and organize family members.
Step 3: Assign a Family Photo Helper:
I recommend assigning a reliable family friend or relative that knows everyone to help gather and track down family members. This “family wrangler” can help streamline the process and keep everyone where they need to be. To ensure efficiency, this person should not be part of the family formals themselves. This allows them to focus entirely on organizing and assisting.
Step 4: Communicate with Family Ahead of Time:
Couples should inform their family members in advance about their role in the photos. This should be done before the wedding day as well as a reminder the day before the wedding. A heads-up helps relatives be prepared to stick around after the ceremony. This guarantees everyone is present when it’s time to capture these meaningful images.
Step 5: Make an Announcement Post-Ceremony:
One simple but effective tip is to have the officiant make an another announcement after the ceremony, asking those included in family photos to remain seated or gather at a designated spot. This avoids unnecessary delays caused by guests dispersing to cocktail hour.
Step 6 Prioritize Must-Have Shots:
By focusing on must-have combinations and skipping overly complex arrangements, we can efficiently capture all the meaningful moments without sacrificing time for other parts of the day.
- For example, setting up a large group of 10+ people typically takes about 5-7 minutes to organize, position, and photograph. Without careful planning, having multiple large groups can quickly spiral. Disrupting the days’ timeline, making it essential to approach this part of the day with structure and efficiency.

Return to mingle with guests, and take advantage of optimal lighting for portraits. With careful planning, family formals can be a highlight of the day rather than a source of stress.
